Keep a running record on a vendor: an insurance follow-up, a rate change, who to call about a late delivery. Notes stay on the vendor, so the next person to open that vendor sees the history.
Notes are internal. Your vendors don't see them. To reach a vendor, see Sending Messages to Vendors.
1. Open the Notes tab
Go to Vendors.
Open the vendor.
Select the Notes tab.
The Notes tab appears once the vendor is saved.
2. Add a note
Type your note and post it.
Attach files if you need to. A note takes up to 10 files, totaling 25 MB.
Type @ and a teammate's name to mention them.
Reply to a note to keep a conversation together instead of starting a new one.
3. Who gets notified
Anyone you mention with @ gets notified.
Anyone who has already posted a note on that vendor gets notified about new notes.
Each person controls how those notifications arrive, under Comments in their own notification settings. See Configure Your Notification Settings.
4. Edit or delete a note
You can edit your own notes.
You can delete your own notes. Users with the Boss role can delete anyone's.
A note shows Edited with the date once someone changes it.
FAQ
1. Can a vendor see the notes on their record?
No. Notes are internal to your team.
2. Can I put a note on one job instead of the whole vendor?
Vendor notes sit on the vendor and apply to every job. For something specific to one bill, purchase order, or job, comment on that record instead.
3. Do notes sync to QuickBooks?
No. Notes stay in Adaptive.
