Tracking Changes & Reallocating Budget

Learn how to track changes in your budget.

Tracking Changes | Overview:

There are 2 kinds of Tracking Changes:

  • Internal Changes (i.e., Cost Budget): Your forecasted Cost-to-complete.

  • External Changes (i.e., External Budget): These are Client-side or Bank-side changes.

    • Note: To view the External Budget column, it must first be enabled in the Edit menu.


Enable Change Tracking:

  • Note: Change Tracking is enabled on a job-by-job basis only.

To enable change tracking within any job:

  1. Click the Edit button beneath the job name.

  2. Under the Change Tracking section, click the Changes + Revised Budget toggle On.

  3. Click Save

When you return to that job's budget, you'll notice several new column headings. Both of the original columns, Cost Budget and External Budget will return along with a new pair of columns associated with each of them:

  • Changes: Shows the total amount in changes made to that Line Item.

  • Revised Budget: Shows the revised budget after all of the changes.


Add a Change:

  • Tip: Use checkmarks to select & change multiple Line Items/Cost Codes at once (i.e., bulk change)

  1. Select 1 or more Line Items

  2. Click +Add a Change button above

  3. In the Add a Change window, you can:

    • Independently Add or Subtract changes to Cost Budget and/or External Budget.

    • Add, Remove or Switch out Line Items

    • Add a Description to the changes made.

  4. Click Save

After Saving changes, you'll notice both the Changes & Revised Budget columns will show the corresponding changes you just made.

Edit Changes:

Once changes are added, you can then edit them directly:

  1. Click the Changes column header

  2. Click the Edit (pencil) symbol

  3. In the Edit Change window, you can:

    • Independently Add or Subtract changes to Cost Budget and/or External Budget.

    • Add, Remove or Switch out Line Items

    • Add a Description to the changes made.

  4. Click Save

    • Tip: Clicking the Changes column header also allows you to quickly view your budget change history.


Reallocating Budget:

Easily reallocate budget between multiple Line Items/Cost Codes:

  1. Using checkmarks, select at least 2 Line Items to transfer costs between.

  2. Click +Add a Change

  3. In Add a Change window:

    1. Subtract an amount from 1 line item.

    2. Then Add that same amount to the other line item that you'd like to reallocated budget to.

  4. Click Save

You've now just moved a budget amount from 1 Line Item to another!
