š Security, tightened up
More controls for admins who want tighter reins on who's logged in and for how long.
New Inactivity Limit setting: choose how long a user can be away from their device before they're required to log back in
New Custom Session Limit: a hard cap on session length, even for users who stay active the whole time
Mobile sessions now default to a 14-day cap (there was no limit before)
Two more options if you want them: require MFA with an authenticator app, or set up your own SSO connection. Both are off by default, so nothing changes until an admin turns them on from Profile ā Settings ā Security
šµ Draws that carry more of the coding for you
Less re-entering the same information twice between costs and billing.
Set a default markup on a job once (a flat rate, or a rate per cost type) and every draw after that comes out already marked up. No more adding it by hand, invoice by invoice
Cost type (QuickBooks class) can now live on draw lines and markups too, so the coding stays consistent from cost to bill. This one's behind a setting that's off by default, so ask your account manager if you want it turned on
š§® Tax Rates, live for everyone
Sales tax now has a real home in Adaptive.
Non-QuickBooks customers can manage a list of tax rates and set default rates by job
Mark invoice lines as taxable
QuickBooks customers will now see sales tax broken out as its own line on draws
š¢ Quantities, rolled out to every QBO realm
Line-level quantity tracking is officially out of beta.
Turn it on in General Settings to see quantities on bills, expenses, POs, change orders, and draw lines
Fill in any two of quantity, rate, or amount, and Adaptive works out the third
Track how much of a PO's quantity is left as it gets linked to bills
Build approval workflow conditions around quantity or unit
OCR reads and fills in quantities automatically, and everything syncs both ways with QuickBooks
š Faster, more connected syncs
A handful of updates that make the money keep moving between Adaptive and your other systems.
Vendor credits can now link back to the PO or subcontract the original bill drew on, crediting the balance back in Adaptive and pushing the update to Procore and Sage Intacct
Bill payments on PO-linked bills can now push to Procore, and separately to Sage Intacct through Export Center. Both off by default for now, reach out to your account manager to turn either on
Procore and QuickBooks Online syncs are noticeably faster for larger accounts. A sync that used to take around 14 hours now finishes in about 5
š² Quick capture, right from your home screen
For anyone who's ever needed to log something before they even had a hand free.
New home screen widget on iOS and Android. Tap the mic and recording starts before the app finishes opening
Long press the app icon for the same shortcuts: note, voice note, photo, or transaction
On iOS 18, you can also start a recording from Control Center
ā” Quick hits
Small things that make the day smoother.
Lien waivers can now include one-off custom content outside the usual template, plus new template variables for more flexibility
Chat now collapses tool calls into a single "Working..." indicator, click it to expand and see everything it did
Bulk archive old agent reports in Command Center instead of one at a time
Notification settings now let you opt out of vendor doc and ACH payment alerts individually
Job filters on the Jobs page now only show jobs matching the tab you're on, active or inactive, instead of both
A new Transaction Watchdog skill can watch your transactions for conditions you set and notify your team or save a findings report
Draws can now subtotal by cost code on export, not just by category or vendor
