Builders, Budgets and Agents 9/9/26

The first session covered four agents built in Adaptive and one Claude skill.

Schedule agent

Built in Adaptive by Nate Brown, Archistructure (Omaha, NE)

Keeps a project schedule current without anyone updating it by hand.

  • Calls or texts project managers on a set cadence and asks what got done

  • Updates the schedule from that conversation — start dates, durations, completed items

  • Escalates to a second contact if it can't reach the first

  • Flags change orders by severity, so blocked items surface before they hold up the next trade

  • Custom Gantt and task views configured to how the team wants to read them

A side benefit raised in the session: it captures why the schedule moved, not just that it moved — a record most companies don't have anywhere.

Draw packager

Built in Adaptive by Nate Brown (about 30 minutes to build)

Takes the standard Adaptive draw and reformats it to the company's own template.

  • Custom cover page with purchase price and money received to date

  • Change orders split into two columns: actual scope changes vs. allowance and selection overages

  • Standard backup documentation carried through

Compliance agent

Built in Adaptive

Tracks vendor compliance and flags which vendors are out of compliance.

Weekly customer update

Built in Adaptive

Generates a client-facing progress report each week and emails it directly to the customer, who can reply to it.

Includes current budget, pending scope changes, percent complete, what was finished that week, action items needed from the client, and upcoming milestones.

WIP Whisperer

A Claude skill, demoed by Patrick Sullivan

Automates the monthly WIP narrative process — the part where a CFO emails every PM asking them to confirm budgets and explain what changed.

How it runs:

  1. Upload your ERP export — cost to date, billed to date, contract values, revised budgets, jobs, PMs

  2. The skill builds a WIP dashboard from that data

  3. It flags exceptions: underbilled jobs, margin fade month over month, cost over budget, billed over contract value

  4. It drafts a personalized email per project manager, specific to what's happening on their jobs

  5. You review, then it sends

  6. As replies come in, it writes the explanations back into the reporting

The result is that the numbers and the story behind them end up in the same place, instead of the narrative living in a Word doc or in the CFO's head.
