Set up the standalone WIP Tool (wip.build)

Set up Adaptive's standalone WIP Tool at wip.build: create an account, connect QuickBooks Online or Desktop, enter budgets, and read the WIP report. This is the separate wip.build product, not the WIP report inside the full Adaptive platform.

This article covers the standalone WIP Tool at wip.build — a separate product for accountants and bookkeepers who want automated WIP reports from a QuickBooks file.

It is not the WIP report inside the full Adaptive platform. If you sign in to Adaptive to manage bills, expenses, and jobs, read WIP Report instead.

Create your account

  • Go to wip.build. Click Start automating WIP reports for free.

  • Enter Your email address. Click Create account.

  • Adaptive sends a 6-digit code. Enter the code on the Verify your email screen. Click Enter.

  • On Finish creating your account, fill in Full name, Phone number, and Password. Click Save.

Add your first company

  • On the welcome screen, click Add a company.

  • Enter the Company name.

  • Under Invite collaborators, add a Name and Email for anyone who needs access. Click Add collaborator for each extra person. You can invite people later instead.

  • Click Create.

Each company is separate and keeps its own QuickBooks connection.

Connect your financial data

You can connect QuickBooks yourself, or send a request to the person who has access.

Connect it yourself

Click Sync QuickBooks. Choose your product.

For QuickBooks Online, sign in and authorize the connection. Adaptive starts to pull data when the connection completes.

For QuickBooks Desktop, Adaptive downloads a Web Connector file and shows the setup steps on screen. Follow QuickBooks Desktop: Setting up the Web Connector to finish. You can download the file again or reset the sync from the same panel.

Send a request to someone else

  • Click Send sync request.

  • In Send QuickBooks sync request, choose an existing Contact or add a new one.

  • Click Send request.

Adaptive emails them a link that connects QuickBooks to this company.

Enter budgets

A job appears on the WIP report when it has both a cost budget and a revenue budget.

Enter them yourself

  • Click Edit budgets.

  • Fill in Cost budget (current) and Revenue budget (current) for each job.

  • Save your changes.

Ask someone else to enter them

  • Click Send request for budget.

  • In Send budget request, choose an existing Contact or add a new one.

  • Click Send request.

You can send one request for every job, or choose specific jobs first.

Read the WIP report

The page title is Work in progress (WIP). These are the columns most people use:

Costs through the As of date

Costs to date divided by the cost budget

Revenue earned

Percent complete multiplied by the revenue budget

Cost to complete

Cost budget minus costs to date

Earned gross profit %

Gross profit against revenue earned

Billed gross profit %

Gross profit against what you billed

More columns are available, such as Billings remaining, Projected gross profit, and Job type. Use the column settings to show or hide them. Your choice is saved in your browser and does not change what your teammates see.

Change the As of date

Set the As of date at the top of the report to see the numbers through that date. Costs and billings after that date are left out.

See the transactions behind a number

Click any Costs to date or Billings to date amount. A dialog opens with the job name at the top and lists the transactions that make up the total.

For costs, the list shows approved bills, expenses, time sheets, and vendor credits. For billings, it shows invoices.

Find costs with no job

Costs that are not assigned to a job do not appear on the WIP report.

Turn on Costs with no assigned job in the report's table settings. A Costs with no assigned jobs row appears below your jobs. Click its total to see the approved bills, expenses, and time sheets that are not categorized to a job.

Use the row to find true overhead and coding mistakes.

Leave comments

Click the Comments tab to open comments for the whole company. Type @ to tag someone. Tagged people get an email and can reply from the email or in Adaptive.

To comment on one job, click that job's Notes cell. The same panel opens for that job only.

Include journal entries

Journal entries do not appear in the WIP report until you turn them on.

  • Go to Settings, then General.

  • Find Journal entries. Turn on Include journal entries in WIP report and budget.

  • Set a Starting date. Only entries from that date forward are included.

  • Choose Pull from all accounts or Pull from select accounts. If you pull from select accounts, choose the accounts you want.

Download the report

Click Download. Choose Download all. The report downloads as WIP Report (XLSX).

Add more companies

  • Open the company switcher at the top of the page.

  • Click Add new company.

  • Fill in the Create a new company form. Click Create.

Use the same switcher to move between companies. Each company keeps its own QuickBooks connection and its own report.

Invite more people

  • Go to Settings, then People.

  • Click New people.

  • In Add people, enter a Name, Email, and Phone number.

  • Click Add person.
