Adaptive POs vs QuickBooks POs

Purchase Order Types:

There are 2 types of POs:

  1. Adaptive POs: These are the POs created in Adaptive. These POs are not synced to QuickBooks.

  2. QuickBooks POs: These are the POs that are either created in QuickBooks and imported into Adaptive or created in Adaptive and synced to QuickBooks.

Note: POs created in Adaptive were synced to QB until August 28, 2024. If you created POs in Adaptive before this date, they will be labeled as QuickBooks POs. However, you can convert them into Adaptive POs easily.

The main difference between Adaptive and QuickBooks POs:

  1. QB POs cannot be edited in Adaptive.

  2. When you link bills to QB POs, edits to those linked bills will be restricted.

As a result, we recommend you to create POs in Adaptive to have full edit capabilities.

Here is a comparison between Adaptive POs and QuickBooks POs:

Adaptive PO

QuickBooks PO

Description

A PO that exists only in Adaptive and is not synced to QuickBooks.

A PO that is synced to QuickBooks and available in both Adaptive and QuickBooks.

Create a PO

Can be created directly in Adaptive.

Can be created directly in QuickBooks. These POs will be visible in Adaptive.

Edit a PO

Can be edited in Adaptive.

PO lines linked to a bill are currently not editable but will be possible in September!

Cannot be edited in Adaptive. Must be edited in QuickBooks.

Any edits made to PO in QB will not be propagated to the linked bill.

Link a bill

Can link a bill to Adaptive PO in Adaptive.

Can link a bill to a QuickBooks PO in Adaptive

Edit a bill linked to PO

Some edits are possible.

Some edits are possible.

​However, once the bill is synced to QuickBooks, any edits to the bill won’t be allowed.

Send for signature

Can be sent for signature

Can be sent for signature

Sync to QB

Not synced to QB, hence not visible in QB.

Synced to QB or are created in QB, hence these POs will be viewable in QB.
