Use the Adaptive mobile app to photograph or upload a receipt, add job and cost details, and submit it for review or approval.
1. Start a Receipt Upload
To upload a receipt from the mobile app:
Open the Adaptive app to the home screen.
Tap the camera icon in the bottom-right corner.
Depending on your device and app settings, Adaptive opens a document scanner or your camera. If you do not see the camera or scanner option, check that Adaptive has permission to use your camera and photo library.
2. Capture or Select a Receipt
After the scanner or camera opens:
Take a photo of the receipt, or choose an image from your photo library.
Capture multiple pages if needed.
Review the image and adjust it if editing options are available.
When you are ready, tap Continue. Tap Retake to capture the image again, or Cancel if you selected multiple images and want to start over.
3. Add Receipt Details
On the details screen, assign as much information as you have:
Job
Cost code or Account (label depends on your company settings)
Class (if your company uses classes)
Vendor
Description
Comment
Tap Continue to upload the receipt.
When the upload starts, you may see a confirmation with View details or Add another. Tap View details to open the receipt while Adaptive finishes processing it.
4. Wait for Processing
While Adaptive processes the receipt image:
Adaptive may send a notification if more information is needed. Once processing is complete, the receipt appears in your receipt list with extracted details such as vendor, amount, and date when available.
5. Submit the Receipt
Open the processed receipt and confirm the details look correct.
Tap the receipt from your list, or use View details after upload.
Review the receipt image and fields.
Tap Send for approval or Submit for review.
Note: The button label depends on your company's receipt approval settings. If you do not see either option, ask your company admin whether you have permission to submit receipts.
To keep working without submitting yet, choose Keep as draft.

6. Approve a Receipt (Approvers)
If you are an approver:
Open the receipt from your mobile to-do list or the Costs tab.
Review the receipt details.
Tap Approve.
Once approved, the receipt moves forward in your company's workflow and syncs to QuickBooks according to your receipt approval settings.
Important: While reviewing a receipt, you can convert it to a bill by tapping the three dots in the top-right corner and selecting Re-categorize as a bill.
