A walkthrough of draw cover sheet editing, vendor statement reconciliation, and labor on draws, plus Q&A on QuickBooks Online sync, Ressio, and Capital OS.

What we covered:

  • Editing draw cover sheets: Use the AI Assistant to omit specific fields from your draw export — upload the export, tell it which lines to remove, and it produces the cleaned-up version. Skip the Adobe workaround; fonts and line ordering often break on export.

  • AI Assistant for vendor statement reconciliation: Upload a vendor statement (PDF or Excel) and ask which lines are missing from your bills in Adaptive, then ask it to create draft bills for the missing items. Drafts land in your bills inbox with vendor, date, and amount pre-filled. Useful for catching credits, finance charges, and other items that slip past day-to-day entry.

  • QuickBooks Online sync: Fully bi-directional. Expenses approved in Adaptive flow to QuickBooks Online, and any updates in QuickBooks Online (re-categorization, amount changes) sync back to Adaptive automatically. Cross-checks are healthy practice, but the integration is reliable.

  • Labor on draws: To group labor by cost code instead of pulling every time activity as a separate line, turn on categories in the job's settings, assign cost codes to a "Labor" category, then group by category when invoicing — all labor entries roll up into a single line. Labor syncs from QuickBooks once approved.

  • Ressio integration: Time tracking currently flows Ressio → QuickBooks → Adaptive. Direct sync of change orders and budgets between Ressio and Adaptive is coming next. As a workaround today, export timesheets from Ressio to Excel and upload to the AI Assistant to create time records.

  • Payments via Capital OS: Cutting checks from Adaptive is coming in the next week or two. AR continues through QuickBooks (or your existing tool); paid status syncs back to Adaptive automatically.

  • Dataforma: No direct integration. Projects and POs flow through QuickBooks — if Dataforma is talking to QuickBooks Online, the data will reach Adaptive.
