Setting Up and Managing the WIP Report

Learn how to set up the WIP Report in Adaptive, sync QuickBooks data, enter budgets, track job costs and billings, and collaborate with your team.

The WIP (Work in Progress) Report in Adaptive automatically pulls job cost and billing data from QuickBooks, simplifying WIP preparation and making it easy to collaborate with your clients and co-workers in one place.

1. Creating Your Account and Adding Your First Company

To sign up:

  • Go to wip.build

  • Enter your email address and create an account

  • Enter the verification code sent to your email

  • Provide your full name, phone number (optional), and password

  • Enter your first company name

  • Optionally, invite coworkers or clients by entering their email addresses

2. Syncing QuickBooks Data

You have two options to connect your QuickBooks file:

Option 1: Sync QuickBooks yourself

  • Click Sync QuickBooks

  • Sign in to your QuickBooks account via Intuit

  • Select your company from the list

  • Click Connect

Option 2: Send sync link to someone else

  • Click the Send Sync Link button

  • Add a contact (existing or new email address)

  • Write a message requesting they connect QuickBooks

  • Click Send Request

Once connected, data will begin pulling into Adaptive immediately.

Note: We currently only support QuickBooks Online for this tool.

3. Entering Budget Information

After jobs begin syncing, enter budget information to activate the WIP calculations:

  • Navigate to Edit Mode to view all jobs

  • Enter Cost Budget and Revenue Budget for each job

  • Click Save

Jobs will appear on the WIP report once both cost and revenue budgets are entered.

To request budget information from others:

  • Click Ask Client to Enter Budgets

  • Select the employee contact

  • Write your request message

  • Click Send Request

This can be done for all jobs in bulk or for individual selected jobs.

4. Understanding WIP Report Columns

The report displays the following key metrics:

  • Costs to Date: Total costs pulled from QuickBooks against cost budget

  • Billings to Date: Total invoices against revenue budget

  • Percent Complete: Calculated as costs to date divided by cost budget

  • Revenue Earned: Calculated as percent complete multiplied by revenue budget

  • Earned Gross Profit Percentage: Based on revenue earned

  • Billed Gross Profit Percentage: Based on actual billings

  • Remaining Cost to Complete: Remaining budget

  • Billings Remaining: Unbilled revenue

You can customize which columns appear in your view.

5. Drilling Into Transaction Details

To view the specific transactions behind any metric:

  • Click on any cost or billing amount

  • View the specific transactions or invoices that comprise that total

6. Auditing Transactions Without Job Assignments

To identify transactions not assigned to any job:

  • Click into the transactions area

  • Filter to view all transactions without a job assigned

  • Review whether these are overhead costs or require job assignment corrections

7. Adding Comments and Collaborating

Company-level comments:

  • Click the Comments tab

  • Write your comment and tag team members or clients using @ mentions

  • Comments are sent via email; recipients can respond directly to the email or log in to Adaptive

Job-specific notes:

  • Use the Notes section to organize notes by individual job

  • Tag people or create notes for yourself for future reference

8. Managing Multiple Companies

To add additional companies:

  • Enter the new company name

  • Optionally invite clients or coworkers

  • Use the company dropdown to switch between companies

  • Each company operates independently with its own QuickBooks connection

9. Inviting Additional People

After initial setup, invite people at any time:

  • Go to Settings β†’ People

  • Add email addresses to send invitations

10. Enabling Journal Entries

To include journal entries in your WIP data:

  • Turn on Journal Entries

  • By default, entries from all accounts will pull in

  • Optionally select specific accounts to pull from

  • Set a starting date to limit historical data

11. Exporting WIP Data

To download your WIP report:

  • Select the jobs you want to export, or select all

  • Click Download

  • Choose Download Selection (for selected rows) or Download All (for all jobs)

12. Filtering by Date

To view historical WIP data:

  • Change the date filter at the top of the report

  • Costs and billings will display only as of that date

  • Transactions after the selected date will not be included
