Procore

Connect your Procore account to automatically sync jobs, budgets, cost codes, vendors, and commitments to Adaptive.

Adaptive connects to Procore so your project, budget, and cost data stay aligned. Project and budget information is pulled from Procore into Adaptive, and your bills, expenses, and timesheets are pushed back to Procore as costs.

How it works

  • Pull projects and budgets from Procore: Procore projects, budgets, cost codes, change orders, and commitments flow into Adaptive.

  • Push costs back to Procore: Your job-costed bills, expenses, and timesheets post to Procore as costs.

  • Stays current automatically: Budget and vendor changes in Procore sync in real time, a full sync runs nightly, and you can click Force sync any time.

  • You control the start: Nothing is pushed to Procore until you set a push start date.

Note: Bills push as subcontractor invoices, with their attachments, when they're linked to a Procore commitment, and as direct costs otherwise.

Connecting Procore

  1. Install the Adaptive app from the Procore App Marketplace. (If it's missing you'll see an Adaptive app required message.)

  2. Go to Settings and open the Procore integration page.

  3. Click Connect Procore and sign in to Procore.

  4. Choose the Procore company you want to sync.

  5. Choose how to map cost codes: your full budget code, or cost code and cost type separately.

Important: You can't change companies after the first sync. Email us at [email protected] if you need to.

Linking projects to jobs

Before any project data syncs, each Procore project is linked to an Adaptive job. On the Mapping tab, Adaptive matches projects to jobs automatically by project number and name, and you can link or unlink them yourself. Vendors and cost codes are matched the same way. Projects, cost codes, and vendors don't sync until they're linked.

Setting up budget sync

After a project is linked, you choose what budget data to sync for that job:

  • Sync the Procore budget into your cost budget, revenue budget, or both.

  • Choose whether prime contract change orders come in as cost, revenue, both, or not at all.

  • Map each Procore cost code to a budget line or a read-only markup line.

Important: Syncing a budget replaces the entire budget for that job with Procore values, including change orders. Review your mapping before you sync.

FAQ

1. Are all my bills and expenses pushed?

Only job-costed ones. A bill or expense without a job is skipped.

2. How is retainage handled?

Retainage is excluded from the push, since Procore tracks it on its own. If retainage is assigned to a general ledger account instead of a cost code, the push is blocked until it's moved to a cost code.

3. How do commitments become purchase orders?

A Procore commitment and its change orders are combined into one Adaptive purchase order, so the total reflects the original amount plus all changes.

4. What happens to Procore cost code variants?

When a Procore cost code has variants, they're merged into a single Adaptive cost code.

5. What's included when a budget syncs?

The original budget, budget modifications, and approved change orders, pulled per job.

6. Can Adaptive pull costs from Procore instead?

Yes, on request. Adaptive can pull your Procore direct costs into Adaptive as bills and expenses. This replaces pushing costs to Procore, so it's one direction or the other.

7. What isn't synced with Procore?

Invoices, bill payments, and journal entries aren't synced with Procore.
